This workflow pulls into Project Dashboard Progress & WIP then into Invoice

How do you book Time?

  1. Select ‘Tracking’ form the Blue menu bar on the Left of the screen

  2. Select a task against the Project name you want to book to

  3. Input hours/days in appropriate box and add comments if applicable

  4. Repeat for all other tasks / Projects / non billable

  5. Select ‘submit’ (day/week)

  • You will land on the timesheet page of tracking. Here any Projects (and corresponding tasks) that you have been assigned to, will appear on this page. If any are missing, reach out to the Project Manager/Admin to attach you to the Project

  • Your time will now be visible to the Project manager to be reviewed.

  • You will receive a notification once they approve or reopen your time

  • You can copy your time from previous week. Only do this if your weekly activity is similar in nature to ensure data quality and simplify approval process

How do you book Software/Equipment?

  1. Select ‘Tracking’ form the Blue menu bar on the Left of the screen

  2. Select sub heading ‘Software or Equipment’ from white horizontal menu bar in the top of the screen

  3. Select the item you want to manage and click ‘Manage’ ’

  4. Select the dates (From and To), days per week and Hours per day. The Total hours will get calculated automatically and if correct then click ‘Save’

  • If details are missing, reach out to the Project Manager/Admin

5. Repeat for all other resources and Projects then Select ‘Submit’

  • Your resource will now be visible to the Project manager to be reviewed.

  • You will receive a notification once they approve or reopen your entry.

How do you book Expenses?

  1. Select ‘Tracking’ form the Blue menu bar on the Left of the screen

  2. Select sub heading ‘expenses’ from white horizontal menu bar on top of the screen

  3. Select ‘+ Add’

  4. Input details in appropriate box

  5. Repeat for all other expenses

  6. Select submit (day/week)

  • Your expense will now be visible to the Project manager to be reviewed.

What do you do if time is Reopened?

  • If you receive a notification your booking has been reopened. The entry will revert form submitted to draft and be editable again.

  1. Edit the entry following same steps as book time then select submit

  • Your revised time will now be visible to the Project manager to be reviewed.

How do you view Utilisation?

  1. Select ‘Tracking’ form the Blue menu bar on the Left of the screen

  2. Select sub heading ‘Utilisation’ from white horizontal menu bar on top of the screen

  3. Create your group if it does not yet exist by clicking ‘Add’

  4. Give a name to your Group and select team members in your group and ‘Save’

  5. Team members for a Group can be edited after creation or deleted if not required

  • For each Group the average utilisation is shown per month along with the utilisation for individual team members comparing non billable and billable time

  • You also have the option to download a PDF or XLSX if you wish.

How do you run a Timesheet Report?

  1. Select ‘Tracking’ form the Blue menu bar on the Left of the screen

  2. Select sub heading ‘report’ from white horizontal menu bar on top of the screen

  3. Select Project, type, period then select ‘submit’

  • You also have the option to download a PDF if you wish.
