  • This database is used to input information into Teams

ACTION

  • Add Online Users so they have access to Proteus

  • Add Offline Users so CVs can be created and pulled into Proposals

TIP

  • Recommend you only add Users once setup is complete and the relevant User guides shared

NOTE

  • There are 6 default User Roles from; Company Admin to Timesheet Only.

  • Users that have created a record can invite other Users and assign a role for that specific record.

How to add Online Users

Navigate to Users

  1. Navigate to the Admin Console and select Users from the grey menu bar

Add Users

  1. Click +Add New and input email address, Office, User Role and tick the box for Finance and Asset Manager, if applicable

  2. Click Invite and repeat process for all Users

  • User Role will provide access as defined in table above

  • Finance and Asset Manager allows Users to create Costs in Finance and Assets

  • New Users will receive automated email invitation to your company Proteus account.

  • Users' Roles can be edited at any time to increase or reduce Access Level.

How to resend new User invitation

Navigate to Invited Users

  1. Navigate to the Admin Console and select Users from the grey menu bar

  2. Navigate to Invited Users tab

  • Here you will see all pending Users who have not yet accepted their invitation

Re-invite Users

  1. Find the required User and click the 3 dots on right side of screen (scroll right in the table if needed)

  2. Click Re-invite

  • Users will receive another automated email invitation

How to amend User Access Level or Finance Permissions

Navigate to Users

Navigate to the Admin Console and select Users from the grey menu bar

Amend Users Access Level

  1. Find the required User and click the 3 dots on right side of screen (scroll right in the table if needed)

  2. Click Edit then reselect User Role from drop down menu or/and edit Finance and Asset Manager box and select Save

  • Change of User Access Level will be effective from the next time the User logs in

  • The User will not get an email notification of the change in User Access Level

How to remove Users

Navigate to the Admin Console and select Users from the grey menu bar

Remove Users

  1. Find the required User and click the 3 dots on right side of screen (scroll right in the table if needed)

  2. Click Deactivate

  • Account is deactivated instantly

  • Users get a email notification that their account has been deactivated

How to add Offline Users

  • No licences are required for Offline Users, as they will not have access to Proteus. The Offline Users feature simply allows you to build a database of profiles to include Proposal.

Navigate to Users

  1. Navigate to the Admin Console and select Users from the grey menu bar

Add Offline Users

  1. Click +Add offline new and input name, email address, office, grade, employment type and job title, and upload a picture

  2. Click Save

  3. Repeat process for all Users

  • Profile Picture is optional but is accessed by the Proposal Module Org Chart and CVs

  • To populate CV you must enter in their Team profile

  • Offline Users can be converted to online at anytime

How to convert an Offline User to Online User

Navigate to Users

  1. Navigate to the Admin Console and select Users from the grey menu bar

Convert to User Account

  1. Find the required User and click the 3 dots on right side of screen (scroll right in the table if needed)

  2. Click Convert to User Account

  3. Input details then click Invite and repeat for all Offline Users

  • The Users will receive an automated email invitation to your company’s Proteus account.

  • Any data entered in an Offline User will be transferred to the Online User Account
